Taking Partial Payments for Reservations

Learn how to collect only a partial payment for a manual reservation.

Instead of paying the full balance of a reservation, a partial payment can be collected when creating the booking or in the point of sale. This is a great way to handle deposits, where a guest pays only a portion of the price to hold a site.

How to Take a Partial Payment for a Reservation

If a guest wants to pay only part of their balance you can easily collect a partial payment when creating a reservation or after it has already been created.

This article will walk you through:

  • Taking a partial payment while creating a reservation
  • Taking a partial payment on an existing reservation
  • Understanding how partial payments display on the calendar
  • Viewing remaining balances

Option 1: Take a Partial Payment While Creating a Reservation

Use this option if you're booking the reservation and collecting a partial payment at the same time.

Step 1: Create the Reservation

  1. Go to your Reservations Calendar
  1. Click on the desired site and dates
  1. Enter the guest information
  1. Click Next to continue to the payment screen

Step 2: Select “Take Partial Payment”

On the payment screen:

  1. Look on the left-hand side
  1. Click the option labeled Take Partial Payment
  1. An amount field will appear
  1. Enter the amount you want to collect (example: $150)

You will now see:

  • The amount being collected
  • The total reservation amount

Step 3: Choose a Payment Method

Complete the reservation using any available payment method:

  • Paid Offline (cash, check, etc.)
  • Credit Card
  • Invoice

Click Create Reservation once finished.


How Partial Payments Appear on the Calendar

After saving:

  • Dark Green = Amount Paid
  • Light Green = Remaining Balance Due

This makes it easy to quickly see which reservations still owe money.


Option 2: Take a Partial Payment on an Existing Reservation

This option is helpful if:

  • A guest calls to make a payment after booking
  • You created an unpaid reservation
  • A guest plans to pay part now and part later
  • A guest is paying upon arrival

Step 1: Create an Unpaid Reservation (If Needed)

If the guest plans to pay later:

  1. Create the reservation
  1. Leave it unpaid

It will appear as light green on your calendar (indicating unpaid balance).


Step 2: Click “Pay Now”

  1. Click on the reservation from the calendar
  1. In the slide-out panel, scroll down
  1. Click Pay Now

This opens the Point of Sale screen.


Step 3: Select “Take Partial Payment”

Inside the Point of Sale:

  1. Click Take Partial Payment
  1. Enter the amount to collect
  1. Choose the payment method (offline, invoice, or credit card)
  1. Complete the transaction

After processing:

  • Exit the slide-over panel
  • Refresh your page if needed
  • You’ll now see dark green (paid portion) and light green (remaining balance)

How to View Payment Details

To check what has been paid and what is still owed:

  1. Click on the reservation
  1. Scroll to the Payment Details section
  1. You will see:
      • Amount paid
      • Remaining balance due
